Databases
Views, filters and sorting
A view is a way of looking at a database's rows. Every database has a Table view, and you can add Kanban, Calendar, Gallery, Chart and Timeline views to see the same data as cards, dates, figures or bars over time. Each view keeps its own filters and sorting.
The seven views
| View | Needs | Best for |
|---|---|---|
| Table | Nothing | Entering data and managing columns |
| Kanban | A Select column | Tracking status: to do, doing, done |
| Calendar | A Date column | Deadlines, events, publishing dates |
| Gallery | Nothing | Browsing items as cards |
| Chart | Nothing (a Number or Formula column to sum or average) | Totals and counts at a glance |
| Timeline | A Date column (two for ranges) | Plans, phases, roadmaps |
| Form | A column that can be asked | Collecting responses from people outside the workspace |
Views appear as tabs under the database's name. Click a tab to switch view. Each view is named after its type.
Table
The default view: one row per item, one column per field. It's the only view with headers to add, rename, retype and delete columns (you can also do it from a row opened as a page), so every database keeps its Table view. You can also add and delete rows and edit every cell here. Hovering over a row's first cell shows Open, which opens it as a page. See Databases.
Kanban
Cards grouped into columns by the options of a Select column, like a task board.
- There's one column per option, in the order the options were created, plus No selection for rows without a value. Each column shows how many cards it has.
- Each card shows the first four columns of the database (other than the grouping column), and you can edit them right on the card.
- New card at the bottom of a column adds a row with that option already set.
Cards can't be dragged between columns. To move a card, change its value in the grouping column from the Table or Gallery view (the grouping column isn't shown on the card itself).
If the grouping column is deleted, the view shows "This kanban view needs a select column to group by." Delete the view and create a new Kanban view with another Select column.
Calendar
A month grid where each row appears on the day of its date column, showing the row's title.
- Use ‹ and › to move between months. Today's date is highlighted.
- Click + on a day (Add row on this date) to create a row with that date already filled in. Then open the Table view to fill in the rest.
- Rows without a date don't appear.
Calendar entries can't be dragged or opened; change dates in the Table view. If the date column is deleted, the view asks for a new one: delete it and create a new Calendar view.
Gallery
One card per row, laid out in a grid. As many columns of cards fit as the width allows, so cards grow or rearrange when you resize the block or its magnet.
- Each card shows its cover at the top (the one you set when you open it, or a soft gradient if it has none), the row's title and up to three properties that have a value, which you can edit on the card. Empty ones take no space.
- Click a card to open it as a page, with its cover, its properties and free text with tabs. See Open a row as a page.
- Favorites: if the database has a Favorite column (galleries created as a magnet come with one), each card gets a ⭐ on hover, and the Favorites button at the top shows only the marked ones. That filter is saved with the view.
- Delete: the trash icon in the corner of the card, and again to confirm.
- New card adds a row.
Chart
Summarizes the rows as a chart. The settings sit above the chart and are saved with the view, so each chart view of a database can show something different.
| Setting | Options |
|---|---|
| Chart type | Columns, Bars, Lines, Area, Pie, Donut |
| Group by | Nothing (one single value), or a Select, Date, Checkbox, Person, Text, Created by, URL or Phone column. For a Date column, choose By day, By week (weeks start on Monday) or By month. |
| Measure | Count (number of rows), or Sum / Average of a Number or Formula column that you pick next to it. Sum and Average only appear if the database has a Number or Formula column. |
How categories are ordered and labeled:
- Dates go from oldest to newest; Select options follow the option order; everything else goes from the largest value to the smallest.
- Rows with no value go in a category called Empty. Checkboxes become Yes and No.
- Up to 24 categories are drawn. Beyond that, the smallest are combined into Other; for dates, the 24 most recent periods are kept.
- Values are rounded to two decimals, and value labels appear on the chart when there are 12 categories or fewer.
The chart uses the rows that pass the view's filters. If none do, you'll see "No rows to plot with this view's filters."
Timeline
Each row becomes a horizontal bar from its start date to its end date, ordered by start date, with the row's title on the left.
- Start: the date column where each bar begins (the first Date column by default).
- End: another date column, or No end (milestones). Rows without an end date, or whose end is before the start, appear as a one-day milestone (a diamond).
- The axis shows weeks for short spans and months for long ones. A vertical line marks Today.
- Rows without a start date don't appear. If no row has one yet, you'll see "No row has a start date yet."
The timeline is read-only: change dates in the Table view. It needs at least one Date column ("The timeline needs a date column.").
Form
A form so other people can add rows, even without a Tylode account. Each question is a column of the database, and each response a new row you see in the other views.
- Questions: when you create the view, every column that can be asked is included (Text, Number, Select, Multi-select, Date, Checkbox, URL and Phone). Untick the ones you don't need, reorder them with ↑ and ↓, and tick Required for the ones that can't be left blank. A required Checkbox must be ticked, like an "I agree". Calculated, person and relation columns can't be asked.
- Title and Description: what appears above the form. Without a title, the database's name is used. Under More options you change the button text and the message shown after submitting.
- Public link: click Create link and share it with Copy (on a phone or tablet, in the browser, also with Share…, which opens your device's share menu). Below it you see how many responses it has. Pause stops accepting responses until you resume it, and Change link makes the old one stop working.
- On the right you see What respondents will see.
Rows are created on behalf of whoever created the link, and only while they can still edit the database. The first response sends you a notification; while you haven't read it, the next ones don't send another. You can mute them in Settings → Notifications.
The form can also go on a page as a magnet (see Dashboards). On Free you can have one form with a link; on Pro and Premium, as many as you like. On Premium, the form page doesn't show "Made with Tylode".
Add or delete a view
To add a view:
- Click + (Add view) at the end of the view tabs.
- Choose Kanban, Calendar, Gallery, Chart or Timeline.
- For Kanban, choose the Select column in Group by…. For Calendar, choose the date column in Date column….
- Click Create view. The new view opens straight away.
To delete a view, hover over its tab and click the trash icon (Delete view), then click it again to confirm. On touch screens the icon is always visible. You can't delete a database's only view.
Views can't be renamed or reordered; new views are added at the end.
Filters
Filters hide the rows that don't match. Open Filters above the view:
- Click Add filter.
- Choose the column, the condition and, if the condition needs it, type a Value.
- Add more filters the same way. Click × (Remove filter) to remove one.
A row is shown only if it matches all the filters (AND logic). There's no "any of" (OR) option. With filters active, the button shows how many there are, for example Filters (2). A filter with an empty value is ignored.
Conditions by column type
| Column type | Conditions |
|---|---|
| Text | contains, does not contain, is, is not, is empty, is not empty |
| URL | contains, does not contain, is, is empty, is not empty |
| Phone | contains, is, is empty, is not empty |
| Number | is, is not, is greater than, is less than, is empty, is not empty |
| Date | is, is greater than, is less than, is empty, is not empty |
| Checkbox | is checked, is not checked |
| Select | is, is not, is empty, is not empty |
| Person | is, is not, is empty, is not empty |
| Relation | is empty, is not empty |
How values are compared:
- Text comparisons ignore upper and lower case. is means the whole value matches.
- is greater than and is less than compare numbers as numbers. For dates, type the value as
YYYY-MM-DD(for example2026-10-01) so it compares correctly. - Formula, Rollup, Created by and Last edited also appear in the column list, but filtering them doesn't give useful results (see Limitations).
Sorting
Open Sort above the view:
- Click Add sort.
- Choose the column and Ascending or Descending.
- Add more sorts to break ties: rows are ordered by the first sort, then by the second among rows that are equal, and so on. Click × (Remove sort) to remove one.
Empty cells always go last, whether you sort ascending or descending. Numbers sort by value, text alphabetically (ignoring case and accents, with "Item 2" before "Item 10"), dates from oldest to newest, and unchecked boxes before checked ones.
Without any sort, rows appear in the order they were added. Rows can't be reordered by hand.
Filters and sorts are shared
Filters and sorts belong to the view, not to you:
- They're saved automatically and are still there the next time anyone opens the page.
- Everyone who opens the database sees the view filtered and sorted the same way. If you need a different angle, add another view instead of changing a view others rely on.
- Filters apply to every type of view: a filtered Kanban, Calendar, Chart or Timeline only shows the matching rows.
In a frozen workspace you can switch views and try filters, but nothing is saved.
Limitations
- Select and Person filters work on the stored value, not on the label you see. Typing an option's label or a person's name in is / is not usually doesn't match. is empty and is not empty work as expected. To see rows by option, use a Kanban view or a chart grouped by that column; if you need to filter by a category often, a Text column also works.
- Sorting by Select or Person doesn't follow the labels alphabetically.
- Formula and Rollup values can't be filtered or sorted, because they're calculated on screen and not stored. The same goes for Created by and Last edited.
- Kanban has no drag and drop. Change the value of the grouping Select column to move a card.
- Grouping only exists in Kanban (by a Select column) and Chart views.
