Pages and editor
Sharing and page permissions
By default, every page is open to everyone in its workspace. When a page needs to stay between a few people, owners and admins can restrict it to specific members or teams.
Who can see a page by default
Every member of a workspace can see every page in it. What they can do depends on their workspace role: members create and edit content, while Read-only members can view, comment and vote but not edit. See Members and roles.
With no restrictions, the Share panel of a page says No restrictions: any workspace member can view this page.
Restrict a page to specific people or teams
Only workspace owners and admins can change who has access to a page. Other members can open the panel to see its status.
- Open the page and click Share at the top.
- In the Add… list, pick a person (under People) or a team (under Teams).
- Click Add. They're added with the Viewer role.
- To let them edit, change their role to Editor in the dropdown next to their name.
- Repeat for everyone who should have access.
As soon as the list has at least one person or team, the page is restricted and the panel says Restricted: only admins/owners and people on this list can view it.
| Role | What it allows |
|---|---|
| Viewer | Can view the page. |
| Editor | Can edit the page. |
Teams are named groups of members that admins set up in Settings → Workspace → Members and permissions. Sharing with a team gives access to everyone in it; the list shows the team with a Team label and its number of people.
What restriction means in practice
- People not on the list don't see the page in the sidebar or in search, and can't open it.
- Owners and admins always see restricted pages, whether or not they're on the list.
- The person who created the page isn't added automatically. If they aren't an owner or admin, add them to the list so they keep access.
- Subpages aren't restricted automatically. Restricting a page doesn't hide the pages nested under it; share each subpage you want to restrict.
- Databases, boards and whiteboards embedded in the page have their own access settings. See Access to boards, databases and more.
Notifications
People you add, and every member of a team you add, get a notification saying the person shared a page with them. See Notifications.
Change a role or remove access
Open Share, change the role in the dropdown, or click Remove next to a person or team. If you remove everyone from the list, the page goes back to being visible to the whole workspace.
Publish to the web
You can publish a page so anyone can view it with a link, without a Tylode account and without editing it. It's useful for showing a syllabus, a guide or how you organize things to someone outside your workspace.
- Open Share on the page.
- Turn on Publish to the web.
- Click Copy link and send it. The link looks like
tylode.com/p/<code>. On a phone or tablet, in the browser, Share… appears next to it: it opens your device's share menu so you can send the link through whichever app you like.
Whoever opens the link sees the page as it is: the text, images, cover, the magnets of a fridge page and the page's own databases (read-only). Boards, calendars, whiteboards and polls aren't shown; a note says they can be seen inside Tylode instead. Columns that say who someone is (person, created by, last edited) and relations are never shown. Whatever you change on the page shows up on the link when it's reloaded.
The published page shows Made with Tylode at the top. Below the link you have two options:
- Let people duplicate it to their Tylode (on when you publish): viewers can click Duplicate to my Tylode and take a copy to their own workspace, creating an account if they don't have one. The copy is theirs: their changes don't affect your page. Only the page is copied, not its subpages.
- Show it in search engines (off when you publish): without it, search engines don't index the page and only people with the link can find it.
Only the person who created the page and workspace admins can publish it. To stop publishing it, turn off Publish to the web: the link stops working right away, and if you publish it again it gets a new link.
Share outside the workspace without publishing
If you'd rather not publish the page, its address only opens for members of its workspace, and there are no guest accounts. Other ways to share a page's content with someone outside:
- Export it to PDF and send the file. See Exporting pages.
- Share a temporary link from My drive: upload the PDF (or any file) to My drive, open its ⋯ menu, choose Share and then click Generate link. Anyone with the link can open the file without a Tylode account until it expires (after 1 hour, 24 hours or 7 days).
- Invite them to the workspace if they should collaborate, and restrict the pages they shouldn't see. See Members and roles.
