Workspace and account
Permissions and access
Who can see and change something in Tylode depends on a few layers that work together. This page ties them together so you can predict what each person will be able to do.
How access works
Three things decide what you can do with any piece of content:
- Your workspace role sets what you can do in general: Owner, Admin, Member or Read-only, plus any custom roles you've been given. See Members, roles and teams.
- Per-item sharing narrows who can see a specific page, board, whiteboard or Studio document.
- Plans set what's available: the effective plan unlocks some features, and a frozen workspace is read-only.
On top of that, some things are personal: they belong to your account and nobody else sees them, whatever their role.
Workspace roles
Roles apply to the whole workspace. In short:
- Owner and Admin can do everything, including managing members, roles, teams and settings.
- Member creates and edits content.
- Read-only can read, comment, chat and vote, but can't create or edit content.
Custom roles add permissions on top of a base role, never remove them. The full list of permissions is in Custom roles, and the table below shows what each role can do.
Pages: open unless you restrict them
By default, every page is open to all members of the workspace. The page's Share menu says "No restrictions: any workspace member can view this page."
When you share a page with specific people or teams, it becomes restricted: "Restricted: only admins/owners and people on this list can view it." Each person or team gets a role, Viewer (can view) or Editor (can edit). Only workspace owners and admins can change who a page is shared with.
Step-by-step instructions are in Share a page.
Access to boards, whiteboards and Studio documents
Boards and whiteboards have an Access button in their header. It opens the Who has access panel.
Boards and whiteboards
A new board or whiteboard is visible to the whole workspace. To restrict it:
- Open the board or whiteboard and click Access.
- Choose who can see it:
- Entire workspace: any member can view and edit it.
- Only people I choose: only the creator, admins and whoever is on the list, whether individuals or entire teams.
- With Only people I choose selected, open Give access to… and pick a team (under Teams) or a person (under People).
- Next to each person or team, choose Can view or Can edit. New entries start as Can view.
- To take someone off the list, click × (Remove access).
While a board or whiteboard is restricted, its button reads Restricted instead of Access. The creator and admins always keep access.
Only the creator and workspace admins (and owners) can change these settings. Everyone else sees the panel read-only, with the note "Only the creator and workspace admins can change this."
Studio documents
Studio documents (presentations, documents, social posts and print designs) are personal: they live in your My drive and nobody else sees them, not even workspace admins, until you share them. To share one, open it, click Share and create a link with Can only view or Can edit, a number of uses and an expiry; notebooks work the same way. Only you, as the owner, can delete it. Documents shared with someone appear in their My drive under Shared with me. See Studio.
Databases
Databases don't have an Access button: they follow the workspace roles, so every member can see them and anyone who can create and edit content can change them.
Voice channels
When you create a voice channel you can fill in Allowed members — leave empty to open it to the whole workspace to decide who sees the channel, and turn on Require approval to join so people wait in a waiting room until someone lets them in. See Voice channels.
Personal things only you see
Some parts of Tylode belong to your account, not to a workspace. They're the same whichever workspace you're in, and nobody else can see them, whatever their role:
| What | Who sees it |
|---|---|
| My drive | Only you. You can share a file through a temporary link, or share a Studio document with specific people. |
| Studio | Only you, plus the people you share each document with. |
| Your personal calendar | Only you. It's a layer of the Calendar that other members can't see, and it isn't shared with any workspace. See Calendar. |
| Only the people in each conversation. | |
| Friends | Your friends list and requests are yours. You decide how friends see your presence in Settings → Privacy and security → Privacy. |
Chats are also private: a conversation is visible only to the two people in it. See Chats.
Plans and frozen workspaces
Even with the right role, the plan can limit what you can do:
- The effective plan is the lower of your own plan and the workspace's plan. It decides whether you can create formula, relation and rollup columns, use the brand kit, set up webhooks and read the audit log, and how many boards, whiteboards and databases you can create. A Free account in a Pro workspace can use and edit what already exists, but can't create things that need a paid plan.
- A frozen workspace is read-only for you: you can see everything, but you can't edit, create, chat, comment, upload, vote, send mail or join voice channels. See Workspaces.
When a section needs a higher plan, it shows "Included in {plan}" with a See plans button. The full breakdown is in Limits by plan.
What each role can do
This table shows the base roles. Custom roles can add any of these permissions to a Member or Read-only person.

Who can't get in
- No guests. Only members of a workspace can open its content. To give someone access, invite them with the role that fits, for example Read-only.
- Only pages can be published. A page can be published to the web with a read-only link (see Publish to the web). Boards, whiteboards and standalone databases can't be published, and regular page links only work for members of the workspace.
