Workspace and account
Workspaces
A workspace is where a team's pages, boards, whiteboards, databases, calendar, chats and voice channels live. Everyone in a workspace shares that content, and you can belong to several workspaces with one account.
Your personal workspace
When you create your account, Tylode creates a workspace for you called {your name}'s Workspace (for example, "Ana's Workspace"). You're its owner, so you can rename it, invite people and change its settings.
Some things aren't part of any workspace: My drive, Studio, your personal calendar, your mail and your friends go with your account and are the same whichever workspace you're in. See Permissions and access.
Create a workspace
- Click the workspace name at the top of the sidebar.
- At the bottom of the menu, click Create workspace.
- Type a name in Workspace name and click Create (or press Enter).
Tylode creates the workspace, makes you its owner and switches you to it. Next, invite your team.
If your plan doesn't allow another workspace, the menu shows You've reached your plan's workspace limit instead of the button, with a See plans link. See How many workspaces you can be in.
Switch between workspaces
- Click the workspace name at the top of the sidebar.
- Under Your workspaces, click the one you want to open.
Each workspace in the list shows your role in it (Owner, Admin, Member or Read-only), or ❄️ Frozen if it's frozen. The one you're in is highlighted.
Tylode remembers the last workspace you opened on each device, so the next time you open the app you land in the same place.
Pending invitations
When someone invites you to their workspace, a red dot appears next to the workspace name at the top of the sidebar. Open the menu and you'll find the invitation under Pending invitations:
- Accept to join. The workspace is added to Your workspaces.
- Decline to turn it down.
Invitations also appear in Activity, the bell in the top bar. If your plan doesn't let you join another workspace, you can still join by freezing your current one: see Accept an invitation.
Workspace settings
Open Settings → Workspace → Workspace details (click your name in the top bar, then Settings). This section shows:
| Field | What it is |
|---|---|
| Workspace name | The name everyone sees in the sidebar and the switcher. |
| Workspace color | The tone of the little square with the workspace's initial (see The workspace color). |
| Slug | A short internal identifier, created automatically (it starts with ws-). It can't be changed. |
| Plan | The workspace's plan: the best plan among its owners. |
| Workspace ID | The identifier the API and the MCP server ask for. |
Rename a workspace
- Go to Settings → Workspace → Workspace details.
- Edit Workspace name.
- Click Save.
Only an owner or an admin can rename the workspace. Other members see the field greyed out with the note "Only an owner or admin can rename the workspace."
The workspace color
Each workspace has a little square with its initial, in its color. Every member sees it in the workspace switcher, the header and the calendar, so it helps you tell at a glance which workspace you're in.
To change it, go to Settings → Workspace → Workspace details and, under Workspace color, click one of the eight tones in the palette (apricot, pistachio, sky, wheat, peony, mint, coral or lavender). It's saved straight away, without clicking Save. With Automatic, Tylode gives it a fixed tone that doesn't change.
Only an owner or an admin can change the workspace color; other members see it but can't change it. The workspace calendar uses this color unless you give it one of its own (see Calendar colors).
Copy the workspace ID
The API and the MCP server need to know which workspace to work in. To get its ID:
- Go to Settings → Workspace → Workspace details.
- Next to Workspace ID, click Copy. The button changes to Copied.
Developers can also list their workspaces and IDs with GET /api/v1/workspaces. See Developer platform and MCP server.
The workspace plan
In Tylode the plan belongs to each person, not to the workspace. A workspace's plan is the best plan among its owners, and it updates on its own when an owner upgrades or downgrades. It decides things like the member limit, storage, file size, page history and voice limits.
If the workspace should be on Pro or Premium, the owner with that plan must stay an owner. See Plans and Limits by plan.
Trash retention
Deleted pages go to the trash, where they can still be restored. After a set period they're deleted for good automatically. To choose that period:
- Go to Settings → Workspace → Workspace details and find Trash.
- Choose an option in Trash retention: 7 days, 30 days (the default), 90 days, 1 year or Never.
The change saves at once and also applies to pages that are already in the trash. With Never, pages stay in the trash until someone deletes them by hand. Every automatic deletion is recorded in the audit log. Only owners and admins can change this setting. More in Trash.
How many workspaces you can be in
The number of workspaces you can be in depends on your own plan. It counts every workspace you belong to, including your personal one and the ones you've joined by invitation.
| Plan | Workspaces you can be in |
|---|---|
| Free | 1 |
| Pro | 3 |
| Premium | Unlimited |
Frozen workspaces don't count toward this number. Prices and everything each plan includes are in Plans.
Frozen workspaces
A frozen workspace is one you can still see but not change. Inside it you can read everything, but you can't edit, create, chat, comment, upload files, vote, send mail or join voice channels. A banner at the top explains it, with Go back to this workspace and See plans.
A workspace can be frozen for you when:
- your plan drops and you're in more workspaces than the new plan allows;
- you chose Freeze my workspace and join to accept an invitation;
- the workspace's plan drops and it has more members than the new plan allows (the most recent non-owner members are frozen).
Nothing is deleted. Clicking Go back to this workspace reactivates it; if your plan doesn't cover one more workspace, the one you're using now is frozen instead. Upgrading your plan unfreezes everything that fits. The details are in Limits by plan.
Leave or delete a workspace
Delete a workspace
An owner can delete the workspace from Settings → Workspace → Workspace details → Delete workspace:
- Click Delete workspace…. A dialog lists what's going to be deleted.
- Type DELETE in the field (in Spanish, ELIMINAR).
- Click Delete permanently. You're taken to another of your workspaces.
Everything in the workspace is deleted: pages and their databases, whiteboards, boards, chats, voice channels and the workspace calendar with its events. So are its members, invitations, roles, webhooks, plugins, brand kit, notifications and audit log, and the files uploaded to it.
Each member's personal things stay, because they don't belong to the workspace: My drive, Studio and the personal calendar. Files in My drive and Studio images stay even if they were uploaded from that workspace.
Two conditions:
- Owners only. An admin can do everything else, but not this.
- It can't be your only workspace. The app needs one to open in: create another first. If another member is left without any workspace, they get a new, empty one.
Leave a workspace
To leave someone else's workspace, open Settings → Workspace, click Leave workspace and confirm. You stop seeing its content and getting its notifications. What you created stays in the workspace for everyone else, and to come back someone will have to invite you again.
Two conditions:
- If you're the only owner, you can't leave. First make someone else an owner or delete the workspace.
- It can't be your only workspace. Create another one first.
An owner or admin can remove other members from Settings → Workspace → Members and permissions. See Members, roles and teams.
